Most Houston small businesses are paying for Microsoft 365 but only using a fraction of what’s included. Here are the features that deliver real business value — and how to actually use them.
Security Features You’re Probably Not Using
- Multi-Factor Authentication: Free in all M365 plans. If you haven’t enabled it, do it today. It blocks the vast majority of account takeover attacks.
- Microsoft Defender for Business: Included in Business Premium. Full endpoint detection and response (EDR) for all your Windows devices at no extra cost.
- Conditional Access: Block sign-ins from unexpected countries or require MFA only from non-company devices.
Productivity Tools Worth Learning
- Microsoft Teams: Beyond video calls — use it for internal chat, file sharing, project channels, and replacing some email threads.
- SharePoint: Your company’s internal file hub. Better than shared drives for version control and remote access.
- Power Automate: No-code automation for repetitive tasks — approval workflows, form submissions, email triggers, and more.
- Bookings: Built-in appointment scheduling included in most business plans. Connects directly to Outlook calendars.
Backup: The Overlooked Gap
Microsoft 365 includes some data retention, but it is not a backup solution. Microsoft’s shared responsibility model puts data backup on you. If an employee accidentally deletes critical emails or files and your retention window has passed, that data is gone. A third-party M365 backup tool (like Veeam or Datto) is worth the \–\/user/month.
Licensing Audit
Many Houston businesses are over-licensed (paying for users who no longer exist) or under-licensed (using features from a higher tier they didn’t buy). An annual license audit often saves money.
